RiverView Health operates a 25 bed Critical Access Hospital, RiverView Recovery Center; a chemical dependency outpatient treatment program, RiverView Home Care and five primary care and specialty clinics in the hospitals service area.

Responsibilities

Recovery Center Office Assistant

 

Schedule: Full-Time (.8 fte) - 64 hours per pay period
Recovery Center hours: Monday-Friday 8:00 AM - 4:30 PM

Pay Range: $16.75 - $23.46  (D.O.E - dependent upon experience)

Job Status: Non-Exempt/Hourly, benefitted position

 

The Office Assistant (Recovery Center) provides essential administrative and compliance-focused support to the clinical leadership team of the Recovery Center. Working under the direct supervision of the Center Director, this full-time, on-site position is responsible for ensuring smooth day-to-day operations and regulatory compliance in a clinical environment. The Office Assistant serves as a central administrative resource for clinic leaders and staff, requiring excellent organizational skills, attention to detail, and the ability to maintain confidentiality. This role is integral in supporting quality patient care and efficient clinic operations while adhering to healthcare compliance standard.

 

 

Essential Duties and Responsibilities

  • Data Management & Reporting: Develop, maintain, and analyze spreadsheets and reports to track clinical quality metrics, provider productivity, service utilization trends, and operational performance. Prepare both routine and ad hoc reports to assist leadership in monitoring outcomes and making informed decisions.
  • Support Initiatives: Provide administrative support for various employee and patient initiatives, such as wellness programs, patient satisfaction surveys, or staff training sessions. Assist in planning, coordinating, and communicating these initiatives to ensure successful implementation.
  • Assist leadership with administrative tasks including preparing and distributing meeting agendas, drafting and processing meeting minutes, compiling operational reports, updating policy manuals, and managing shared documents. Ensure all documentation is professionally formatted and complies with organizational standards.
  • Meeting Coordination: Coordinate and schedule meetings (both internal and cross-departmental) and assist with meeting logistics such as reserving rooms and arranging necessary equipment. Prepare meeting materials and documentation, record key discussions and action items, and distribute follow-up materials as assigned.
  • Cross-Functional Collaboration: Work closely with clinical staff, administrative personnel, and leadership across various departments to support clinic-wide projects and initiatives. Facilitate clear communication and cooperation among clinical, operational, and leadership teams to advance the recovery center’s goals.
  • Other Duties as Assigned: Carry out other administrative tasks or special projects as directed by the Director or management. Adapt to changing priorities and demonstrate flexibility in taking on new responsibilities to meet the needs of the organization.

 

Qualifications

Required:

  • High school diploma or equivalent
  • 1+ years of administrative experience, preferably in a healthcare or recovery center setting, with familiarity in clinical or compliance-related administrative work.
  • Ability to pass Minnesota Department of Human Services criminal background study

 

Preferred:

  • Five years+ administrative experience, preferably in a healthcare or recovery center setting, with familiarity in clinical or compliance-related administrative work. 
  • Experience using Electronic Health Record (EHR) or healthcare information systems
  • Regulatory knowledge of healthcare compliance regulations (such as HIPAA privacy rules and other relevant standards). Prior training or certification in healthcare compliance or medical office administration is a plus.
  • CPR/First Aid Certification

 

Skills and Competencies:

  • Ensure accurate data entry for patient registration and scheduling
  • Ability to work effectively in a team environment
  • Good communication skills (verbal & written), organization, leadership, and problem-solving
